MEMBERSHIP AND EVENTS ASSISTANT
The IFCA Membership and Events Assistant will assist the Manager for
Membership and Volunteers in the seamless delivery of IFCA?s
membership administration. She/He will also assist in the effective
co-ordination and administration of IFCA?s events for IFCA members.
KEY DUTIES AND RESPONSIBILITIES
MEMBERSHIP
* Manage IFCA?s membership and insurance through the use of the
IFCA?s CRM system and keep same up to date
* Process and monitor membership renewals on IFCA?s CRM system
* Regularly review lapsed memberships and compile reports to the
line manager
* Assist in membership payment and monitoring of payments for
members
* Monitor membership refund requests and liaise with Membership and
Volunteer Manager and Finance Officer who will administer refunds.
* Work closely with the Finance Office with regard to membership
standing order payment requests
* Assist members with IFCA insurance renewals
* Liaise with IFCA?s Finance Officer for the invoicing of members
insurance renewals
* Update CRM tool in relation to membership and donations via direct
debit
* Deal with membership queries and questions as they occur
EVENTS
* Using the Eventbrite platform, set up and manage on-line bookings
for all IFCA events
* Schedule online events as requested by the Membership and
Volunteer Manager
* Assist members with the booking of events on Eventbrite
* Monitor RSVP?s to events and assist members with getting access
to events
* Coordinate and administer IFCA events as directed by the
Membership and Volunteer Manager
IFCA ANNUAL NATIONAL CONFERENCE
* Liaise with the Learning Coordinator in the planning and
administration of event booking for IFCA?s Annual National
Conference
* Booking rooms for the conference for members and booking rooms for
attendees for the conference.
* Liaising with local businesses as regards spot prizes.
* Keep conference team updated on figures of conference attendees.
* Ensuring correct conference packs are prepared and correct
conference list of attendees is prepared.
* Dealing with incoming conference queries from members
* Attendance at IFCA?s annual national conference conference
COMMUNICATION
* Promote a courteous and professional manner in all communication
with members
* Communicate effectively with IFCA?s key key stakeholders; Tulsa,
private fostering agencies, insurance provider and other charities and
organisation regularly on administrative issues in relation to
membership and events
* Ensure that all e mail and communications are sent to members in a
timely manner as per deadlines set by line manager
* Liaise with the Communications Manager regarding communications to
members.
* Bring to the immediate attention of the Membership and Volunteer
Manager any issues which may arise in respect of membership
* Working closely with the membership & volunteer manager to support
membership and volunteer development and engagement.
* Respond to general enquiries to IFCA
* Provide general reception duties for IFCA
* Provide written reporting on membership and events, or others as
required by the Membership and Volunteer Manager
GENERAL
* Reception duties when required
* Assisting and co-ordination membership mail outs
* Donor and funding research as required
* Working as part of the wider IFCA team on various projects
* Any other duties as may be required from time to time
TEAM
* Work effectively as part of the IFCA wider team
* Work with the Conference team to assist with administration
* Attend regular team meetings
* Contribute to team meetings and the overall work of the team

REQUIRED QUALIFICATIONS AND EXPERIENCE
* Experience of event coordination and associated requirements for
the preparation for the delivery of IFCA services
* Experience of Microsoft packages
* Experience of supporting the work of key managers and wider team
